Canceling isn't hard, but there are some things to note before canceling, otherwise you might lose important data.

This article will teach you how to properly cancel Google Workspace and what preparations you need before canceling.

Things to Do Before Canceling

Backup All Data

After cancellation, data in the account will be deleted. Backup first:

Email:

  • Export using Google Takeout
  • Or set up forwarding to another email

Files:

  • Download all Google Drive files
  • Or transfer to another Google account

Calendar:

  • Export .ics file
  • Record important events

Contacts:

  • Export as CSV or vCard

Notify Relevant People

  • Let clients and vendors know your new contact information
  • Update email on business cards and website
  • Set up auto-reply notifying of new email address

Confirm Billing Status

  • Check current billing cycle
  • Confirm no outstanding payments
  • Annual/Fixed-Term subscribers must pay the remaining balance of the contract, and no refunds are issued

Cancellation Steps Tutorial

Method 1: Direct Subscription Cancellation

Steps:

  1. Log into admin.google.com as admin
  2. Go to "Billing" → "Subscriptions"
  3. Find the subscription to cancel
  4. Click "Cancel subscription"
  5. Confirm cancellation

Note: On the Flexible (monthly) plan, canceling immediately stops you from incurring new charges — you are charged only for the days you used the service, with no penalty. On Annual/Fixed-Term plans you are charged for the remaining balance of your contract and no refunds are issued.

Method 2: Delete Entire Organization

If you want to completely delete the Google Workspace account:

Prerequisites: cancel all subscriptions first (except Cloud Identity Free), back up billing and user data, delete Marketplace apps, and unenroll from Android zero-touch and EMM bindings.

Steps:

  1. Complete the prerequisites above
  2. Go to "Account" → "Account settings" → "Account management"
  3. Click "Delete account"
  4. Follow instructions to complete deletion

Warning: This will delete all users, data, settings. Not recoverable.

Purchased Through Reseller

If purchased through a reseller:

  • Contact reseller to handle cancellation
  • Reseller may have different cancellation policies
  • Confirm refund-related matters

Don't Want to Cancel? Alternatives

Downgrade to Cheaper Plan

If you just want to save money:

  • Business Plus → Standard → Starter
  • Downgrading retains data
  • Operate in Admin Console "Subscriptions"

Reduce User Count

If too many users:

  • Delete unneeded accounts
  • Fees reduce in next billing cycle
  • Backup that user's data first

Temporarily Suspend (Not Available for All Cases)

  • Google Workspace doesn't have a "pause" feature
  • But can consider downgrading to lowest plan
  • Keep account but reduce fees
